You set the rules for when a load is "billable", whether it is when the load is booked or when the load is delivered, and TruckMaster Trucking Billing Software "pops" it into the queue to be billed at the appropriate time. From there your billing clerk double checks the bill-to information and the automatically calculated rates, and ok's the invoice to be generated.
PODs and other required paperwork may be scanned and attached to the invoice, so that when it is printed or faxed, the attachments are printed or faxed along with the invoice. Our interfaces with truck stop scanning solutions allow for a quicker flow of paperwork to you so that you can speed up the collection process.

TruckMaster Trucking Settlements Software takes the pain out of accounting for your trip expenses, payroll information, and road and fuel tax liabilities.
When you first receive the trip packet from your driver, the TruckMaster Trucking Settlements Software already knows all about it from the information that the dispatcher and billing clerk entered, so the settlement clerk basically double checks the information for exceptions and goes to the next settlement. How?
Our seamless internal integration allows us to know how many extra stops are needing to be paid, what load revenue an owner-operator gets a percentage of, etc.
Our interfaces with routing system partners such as PC*Miler, Rand McNally, and others, means that the trip miles are already there. Your clerk need only make adjustments for out of route and compare to the actual odometer if desired.
Our interfaces with fuel card providers such as Comdata, EFS, and others, means that fuel costs and driver advances are already in the system. If you require your drivers to submit a trip number with purchase, the transaction is automatically applied to the correct trip, otherwise a couple keystrokes will apply the outstanding transactions.
Automatic reimbursements and deductions may be set up for each driver or leasor, so the only ones that need to be manually entered are ones that occur on a per-trip basis, that were not accrued on a fuel card.
We have a voucher system that allows you to ensure that for reimbursable expenses such as lumpers and pallets, the customer is billed and the driver reimbursed. This also ensures that a dispatcher has signed off on the expense in advance of incurring the cost, and you're not blind-sided when you get the trip information back from the driver.
If you have leased trucks that employ someone else to drive them, TruckMaster Trucking Settlements Software can automatically deduct driver payroll costs from the leased operator. We also handle leasor reserve accounts for you.

Load information may be imported or exported from a load posting service as required, may be manually entered, or imported via EDI or 3rd party software system.
Carrier selection may be automated, with carriers selected by lane availability, rate, or past performance criteria. Loads may be tendered to carriers via EDI, website/email, or faxed load confirmation. Carriers in turn may update their progress on tendered trips via EDI or your website.
If desired, your customers may be granted access to your website to view their load statuses, or may be set up to receive automated status emails as their received from your carriers. You can set up automatic faxed or emailed trip payment status reports to your carriers, showing why they haven't received payment, due to non-payment of your customer, discrepancy between your confirmed rate and the rate on their invoice, payment pending, etc..
TruckMaster Trucking Brokerage Software will monitor your carrier's insurance expiration dates, and block any carrier with expired or expiring insurance certificates from being dispatched (without management override). At any point in time an evaluation may be requested, which will generate warning letters to any carriers who will expire within the defined time period, along with a recap for your records. This process may be automated, so that it happens on a regular basis without the need for human interaction.

When you initially hire a driver, you enter in all of their DQ file information (such as driver license and medical card expiration dates, brake check dates, etc), and from that time on, the system will alert you and your dispatchers to information that needs to be renewed or updated. As an example, a dispatcher will not be allowed to dispatch a driver whose driver license will expire before the end of the trip (without a management override).
At any time (we recommend monthly), a menu option may be selected that will run through all of your DQ file information and spit out a letter to each driver that has information that needs to be renewed in the next 30 days, along with a recap report for you. Put it in with the driver's pay check and monitor that you receive the requested data by the expiration date.

TruckMaster Trucking Software has interfaces with many 3rd party solution providers, and many more custom interfaces with in-house software systems.
Our interfaces with mobile communications systems (such as Qualcomm, @Road, etc) allow drivers to send and receive email directly from their mobile units. You can set up a character limit and per-character charge to cover communication cost overhead, and it's automatically deducted from their payroll.
Given regular position information, we can alert your dispatchers if a load is going to be late for pickup or delivery, taking into account the amount of time the driver needs to rest on the route, the time it takes to drive from his current position to destination, etc. Your dispatchers can be emailed when a problem is imminent, in many cases hours or even days prior to there being a problem. We can even set it up so that the system will call the dispatcher's cell phone until a receipt of the alert is acknowledged.
Drivers may access their pending payroll information directly from their in-cab device, or may be allowed secured access to the same via your website. They may also request route information provided by our routing system partners (such as PC*Miler, Rand McNally, etc) and have the results returned to their in-cab device. They may request the cheapest fuel stops for their route at any point, which are returned to them by cheapest net CPG (see our Fuel Finder for a demonstration). These features greatly enhance the driver's experience and aid in driver retention.
